InkPersona — Privacy Policy

InkPersona respects the privacy of its customers, their representatives, and people who interact with InkPersona Tap.
This Privacy Policy explains how InkPersona collects, uses, communicates, protects, retains, and otherwise handles personal information.
1. Who this policy applies to
This policy applies when you:
- visit an InkPersona or Tap website;
- contact InkPersona;
- become or represent an InkPersona customer;
- use a Tap administrative account;
- make or manage a payment;
- interact with a Tap page or NFC-enabled Tap experience where personal information is processed.
2. Information we collect
Depending on how you interact with InkPersona, we may collect the following categories of information.
Business and contact information
This may include:
- name;
- company or business name;
- job title or role;
- email address;
- telephone number;
- billing address;
- business location;
- other information provided during onboarding or support.
Account information
This may include:
- Tap account information;
- organization or workspace membership;
- permissions;
- authentication-related information;
- account activity.
Customer-provided content
Customers may provide information or content such as:
- logos;
- photographs;
- business information;
- social-media or website links;
- text;
- branding;
- business locations;
- other content requested for publication through Tap.
Billing information
InkPersona may collect and maintain information such as:
- subscription amount;
- billing status;
- payment dates;
- invoice identifiers;
- refund information;
- payment-provider identifiers;
- limited payment metadata supplied by Stripe.
InkPersona does not receive or store complete payment-card numbers or card security codes.
Payment credentials are handled directly by Stripe.
Tap usage and NFC analytics
Tap may record information necessary to operate and measure the service, including:
- Tap-page interactions;
- NFC asset identifiers;
- tap events;
- timestamps;
- routing events;
- aggregate or operational analytics.
Tap analytics are intended to measure the use and performance of Tap experiences.
InkPersona does not design ordinary NFC tap analytics for the purpose of identifying individual visitors merely because they tapped a Tap NFC tag.
Technical and security information
InkPersona and its infrastructure providers may generate information such as:
- server logs;
- browser and device information;
- IP and network information;
- diagnostic information;
- security events;
- request and error logs.
This information may be used where necessary to operate, secure, troubleshoot, and maintain the service.
Communications
InkPersona may keep communications and information you provide when you:
- contact us;
- request support;
- discuss your account;
- participate in onboarding;
- request changes;
- communicate with InkPersona regarding the commercial relationship.
3. Why we use personal information
InkPersona uses personal information for legitimate and identified purposes including:
- providing and operating Tap;
- onboarding customers;
- creating and maintaining customer accounts;
- configuring Tap pages, locations, and NFC assets;
- processing and reconciling billing;
- providing support;
- communicating about an account or service;
- maintaining security;
- detecting and preventing abuse or fraud;
- diagnosing problems;
- improving reliability and performance;
- maintaining business and accounting records;
- complying with legal and regulatory obligations;
- protecting InkPersona, its customers, and users where reasonably necessary.
InkPersona does not sell personal information.
InkPersona does not operate an advertising-data marketplace using Tap visitor information.
4. Stripe and payment processing
InkPersona uses Stripe for payment processing and recurring billing.
When you enter payment information through Stripe Checkout or manage billing through the Stripe Customer Portal, your payment details are submitted directly to Stripe.
Stripe may provide InkPersona with information required to manage the commercial relationship, including:
- Stripe Customer identifiers;
- subscription information;
- invoice information;
- payment status;
- payment dates;
- refunds;
- billing addresses;
- limited payment-method information.
Stripe processes information according to its own terms and privacy practices.
5. Service providers
InkPersona uses third-party service providers for functions such as:
- website and application hosting;
- database infrastructure;
- payment processing;
- security;
- software infrastructure;
- communications;
- professional services.
InkPersona provides service providers only with information reasonably necessary for their role.
Some providers may process or store information outside Québec or Canada.
Where required by applicable law, InkPersona considers the privacy implications of such processing and uses appropriate contractual, technical, and organizational safeguards.
6. Disclosure of personal information
InkPersona may disclose personal information:
- to service providers acting on our behalf;
- when you direct or authorize us to do so;
- where reasonably necessary to complete a business transaction;
- to professional advisers such as accountants or lawyers where appropriate;
- where required or permitted by law;
- where reasonably necessary to investigate fraud, abuse, security threats, or protect legal rights.
InkPersona does not disclose personal information for unrelated purposes without authorization unless permitted or required by law.
7. Retention
InkPersona keeps personal information only for as long as reasonably necessary for the purposes for which it was collected and for applicable legal, accounting, security, dispute-resolution, and recordkeeping requirements.
Different types of information may have different retention periods.
When personal information is no longer required, InkPersona will delete, destroy, or anonymize it as appropriate, subject to lawful backup and record-retention requirements.
8. Security
InkPersona uses administrative, technical, and organizational safeguards appropriate to the sensitivity and nature of the information handled.
Access to internal customer, billing, CRM, and operational information is restricted to authorized personnel and systems that require it.
No security system can guarantee absolute protection.
If a confidentiality or security incident occurs, InkPersona will investigate it and take appropriate measures, including measures required by applicable privacy law.
9. Cookies and similar technologies
InkPersona may use cookies or similar technologies necessary for:
- authentication;
- security;
- session management;
- user preferences;
- essential website and application functionality.
If InkPersona introduces non-essential analytics, advertising, or tracking technologies requiring consent, appropriate information and consent mechanisms will be provided.
10. Your privacy rights
Subject to applicable law, you may request:
- access to personal information InkPersona holds about you;
- correction of inaccurate or incomplete information;
- information regarding how your personal information is used or disclosed;
- withdrawal of consent where processing depends on consent and withdrawal is legally available;
- deletion or cessation of use where applicable;
- portability of computerized personal information where applicable.
Certain information may need to be retained despite a request where required by law or reasonably necessary for legal, security, accounting, billing, fraud-prevention, or recordkeeping purposes.

12. Changes to this policy
InkPersona may update this Privacy Policy as its services, technologies, legal obligations, or privacy practices evolve.
Material changes will be communicated where required by applicable law.
The current version will always identify its effective date.
